Initial Meeting – Information Gathering & Plan Construction
Each prospective new client relationship begins with an initial meeting with a member of our Investment Team to thoroughly explore and discuss their complete financial needs, prior investment experience, goals, expectations, and concerns and our investment approach and philosophy. This meeting will serve as the basis for the preparation of a detailed, written proposal addressing their individual planning and investment management needs.
Second Meeting – Proposal Review & Discussion
At a second meeting we discuss and carefully review our written proposal and recommendations with the prospective client. This is where we present our plans for the design and implementation of a portfolio. Typically changes are recommended and in certain cases our recommendations can be implemented over time. Sometimes our recommendations can be adapted to include some of the existing holdings. For example, some clients may have significant unrealized investment gains in their current holdings that could trigger large income taxes if they were sold. In such cases we will accommodate specific circumstances, needs or concerns. Once a prospective client decides to move forward with Oak Financial Group, the plan is implemented as set forth in the proposal.
Dedicated, Personal Client Service – Portfolio Management & Communication
We continuously manage all client portfolios on a fully discretionary basis, actively monitoring market conditions and other risks and taking into account, when applicable, a client’s changing needs. We strive to provide the highest quality customer service experience. For clients that want cash distributions from their portfolio, we can set up periodic transfers (e.g. monthly, or quarterly) to be paid out of their account, or handle requests on an as needed or annual basis. To ensure each client’s individual needs are met and to maintain strong lines of communication, we will meet semi-annually for the first three years, and annually thereafter, to discuss portfolio allocations and performance. Financial plans should be proactive, not static, and revisited as often as needed. Each meeting with our clients serves as an important opportunity to review our plan, confirm our clients’ needs, and determine whether any changes or adjustments may be warranted to meet their goals.
Reports & Other Communication
Clients may contact us by e-mail, fax, or telephone at any time to discuss their investments, ask questions, or discuss any financial matter. Keeping our clients informed is important. In addition to the confirmations, monthly statements and other reports our clients receive from their brokerage custodian (e.g. Charles Schwab), each client also receives from Oak Financial Group our quarterly newsletter, quarterly portfolio holdings reports, and periodic interim commentaries we may issue regarding timely or newsworthy issues.
